CSA scores costing you loads? How to improve them

CSA scores run on a rolling 24-month window with recency weighting: a violation from the last six months counts three times as heavily as one from eighteen months ago, and anything older than 24 months drops out entirely. That means scores improve on their own with clean operating time, and that a small carrier’s score moves violently because there are few inspections to average against.

Nothing here is fixed this week. This is a months-long recovery, and the honest work is understanding which violations are actually driving your number.

The clock is already working for you

Violations decay. Under FMCSA’s SMS methodology, safety events older than 24 months are no longer used, and the weighting drops from 3 to 2 to 1 as they age past six and twelve months. A carrier who strings together clean inspections genuinely recovers. This is not a permanent mark, and anyone selling you an urgent fix is selling urgency.

Why one bad inspection hurts a small carrier so much

FMCSA’s Safety Measurement System groups violations into seven BASICs and compares you against carriers with a similar number of inspections. With few inspections on record, each one carries enormous weight, a single bad inspection can move a small carrier’s percentile dramatically in a way it never would for a fleet with hundreds.

This cuts both ways, and the upside is the part nobody mentions. The same thin denominator that makes one bad inspection devastating makes a run of clean inspections unusually powerful. Volume of clean operating time is the actual remedy.

Two of the seven BASICs (Crash Indicator and Hazardous Materials Compliance) are hidden from public view under the FAST Act. Property carriers have to log in to see their own complete results, which means the number a broker is reacting to may not be the number you have been looking at.

What to do, in order

  1. 1

Log in and look at your complete record

The public view is not your full picture. Log in to FMCSA’s SMS site to see your complete results including the BASICs hidden from public view. You cannot fix what you have not actually read.

  2. 2

Identify which violations are actually driving the number

Sort by recency, because recency is weighted. A cluster of violations in the last six months is doing three times the damage of the same cluster from eighteen months ago. Often one or two inspection events explain most of a score.

  3. 3

Challenge anything genuinely wrong through DataQs

If a violation is on the wrong carrier or vehicle, was recorded in error or was listed twice, DataQs is FMCSA's free system for asking the agency responsible for the record, usually the state where the inspection happened, to review it. A ticket that went to court works differently: submit the certified court result through DataQs, and once a state official verifies it, the violation stays on the inspection with the result attached. A dismissal without a fine or punitive court costs, or a not-guilty finding, is left out of SMS and the PSP report; a conviction on a different charge still counts, at a severity weight of 1. Be realistic: fixing the defect, paying the ticket or disagreeing with the officer does not change the record, and no service can promise a result.

  4. 4

Fix the underlying cause, not the number

If Vehicle Maintenance is driving your score, the answer is pre-trip discipline and a maintenance schedule, not paperwork. Scores are a symptom. Brokers who decline you today will re-run the check later, and only a real change survives that.

  5. 5

Accumulate clean inspections and let the window turn

This is the unglamorous part and it is the part that works. Clean inspections dilute the average and old violations age out of the 24-month window. Recovery is measured in months of clean operating, not in a filing.

TenFour DataQs challenge

$99 / $169

Member price, then the standalone price if you are not on a plan. We review the violation first and invoice only if it is worth filing, and we tell you when it is not. We draft it; you submit it. No promised outcome.

TenFour, with your safety data watched

$99/mo

Annual plan for one truck; $119 month to month. Each additional truck $59/month, every driver included, for 1 to 6 trucks; 7 or more is custom pricing. Covers this and every other recurring deadline.

Nobody can delete a legitimate violation

If a company offers to remove violations from your record or guarantees a score improvement, walk away. DataQs corrects data errors. It is not an appeals process for violations that occurred, and there is no back channel. What genuinely improves a score is time and clean inspections, which no vendor can sell you.

We watch your safety data continuously so a change reaches you before it reaches a broker, and we draft DataQs challenges where a violation looks genuinely wrong. We will also tell you when a challenge is not worth filing, which is more often than most vendors admit.

How safety monitoring works

When this is not your situation: If a broker has declined you specifically over a crash, an out-of-service rate, or an insurance question, that is a commercial conversation rather than a data one. We can help you understand the numbers behind it; we cannot make a broker book you.

Questions people ask at this point

How long do violations stay on my CSA record?

Twenty-four months in the scoring calculation, with recency weighting, 3× for the past six months, 2× for six to twelve months, 1× for twelve to twenty-four. Safety events older than 24 months are no longer used in the measurement.

Can I get violations removed from my CSA score?

Only if the record is wrong or a court result changes how it counts. When the data is wrong, such as the wrong carrier, the wrong vehicle, a violation recorded in error or one listed twice, the agency responsible for the record can correct it through a DataQs request. When a ticket went to court, you submit the certified court result through DataQs: a dismissal without a fine or punitive court costs, or a not-guilty finding, leaves the violation on the inspection with the result attached but out of SMS and the PSP report, and a conviction on a different charge keeps it in SMS at a severity weight of 1. A dismissal that still carried a fine or punitive court costs counts as a conviction. Otherwise a violation keeps counting until it ages out of the 24-month window, and no service can promise an outcome.

Why can I not see all my BASICs?

Under the FAST Act, the Crash Indicator and Hazardous Materials Compliance BASICs are hidden from public view. Property carriers must log in to FMCSA’s SMS site to see their complete results.

Has FMCSA replaced CSA with a new scoring system?

No. The enhanced Safety Measurement System is still in preview as of August 2026. FMCSA said it would announce a launch date in a follow-up Federal Register notice and no such notice has been published, the production methodology still uses the seven BASICs. Articles claiming the new system is live are wrong.

How fast can a score improve?

It depends on how many inspections you accumulate and how old the damaging violations are. There is no fast route. A carrier with few inspections can see meaningful movement within a few months of clean inspections; violations aging past the 24-month window drop out entirely.

Why does one bad inspection hurt me more than a big fleet?

Because SMS compares you against carriers with a similar inspection count, and with few inspections there is nothing to average against. The same arithmetic means clean inspections help you disproportionately too.
